After Publisher: labels and name tags from your list

Microsoft Publisher reached end of support in October 2026. If your address labels, name badges, raffle tickets or certificates were Publisher mail merges, you can print the same sheets from the same list in a browser tab.

What changed

Publisher is no longer supported

Microsoft announced in 2024 that Publisher would be retired in October 2026. Microsoft 365 no longer includes it, and copies that are still installed get no more updates or security fixes. The files you made with it stay on your computer, but the program that opens them is on borrowed time.

Most label jobs never needed a page-layout program. They need three things: the list, the sheet the labels come on, and a PDF that puts each row in the right place. That is the whole of what Rowprint does.

Step by step

Move a label job in five minutes

  1. Find the list

Open the spreadsheet or CSV file the mail merge read from. If the list was typed in Publisher, look for its data file in the My Data Sources folder in Documents and open it in Excel. Copy the rows, header row included.

  2. Note the sheet number

It is on the box, such as 5160 for address labels or 5395 for name badges. Publisher’s template usually named it too.

  3. Paste, pick, place

Paste the rows into Rowprint, type the number to pick the sheet, and place the fields: Fill lines from my columns does most of it.

  4. Test, then print

Print the test page on plain paper and hold it against a label sheet up to a window. Download the PDF and print at 100% (Actual size).

Honest limits

What Rowprint does not replace

Rowprint makes sheets from a list: labels, name tags, place cards, numbered tickets and certificates. It is not a page-layout program, so brochures, newsletters and posters need another tool. It does not open .pub files; the list is what moves across, and the layout takes a minute to set up again.

Questions from Publisher users

Can Rowprint open my .pub files?
No. Rowprint works from the list, not the layout. Open the spreadsheet or data file your mail merge used, copy the rows, paste them into Rowprint and pick the same sheet by its number. The layout takes a minute to set up again, and the list is the part that matters.
Where is the list my Publisher mail merge used?
Usually in an Excel workbook or a CSV file that the merge was connected to. If the list was typed inside Publisher, it was saved as a separate data file, often in the My Data Sources folder in Documents; open it in Excel or Access and copy the rows.
Will my Avery labels still line up?
Yes. Pick the sheet by the number on the box and print at 100% (Actual size), with Fit to page turned off. Print the test page on plain paper first and hold it against a label sheet; if it sits a little off, nudge the layout by the millimetre.
Does it work on a Mac or a Chromebook?
Yes. Rowprint runs in the browser, so it works on Windows, macOS, ChromeOS and Linux, with nothing to install. Your list stays on your computer.
What does it cost?
Free for up to 3 sheets per PDF, which is 90 address labels. Pro is $19, paid once, and prints the whole list.
