Name tags from a spreadsheet

Word mail merge is fiddly, and a long name can run off the badge. Paste your attendee list and print Avery® 5395-compatible badges, eight to a sheet, with long names shrunk to fit.

The app opens with example data, so you see a finished sheet first. Free for up to 3 sheets per PDF. No account, and nothing is uploaded.

How to make name tags from a list

  1. Copy your attendee list with its header row, for example First name, Last name and Organization.
  2. Paste it into Rowprint and pick Name badge labels, 8 per sheet.
  3. The badge fills in from your column names: {{First name}} {{Last name}} large and bold on the first line, {{Organization}} smaller below it. Rowprint recognizes common column names (name, first and last, address, city, state, zip, company), and you can edit the lines afterward, for example to give the first name a line of its own.
  4. Check the preview. Shrink text to fit keeps long names inside the badge, and the preview warns you about any that still don’t fit.
  5. Download the PDF and print it at 100% on the badge sheets.

Badges people can read

  • First names do the work at a busy event. Make them two or three times the size of everything else.
  • Keep company and role to one short line each, in a lighter weight.
  • Print the test page with the badge outlines on plain paper and check it against a sheet before you use the real badges.
  • For check-in, Pro adds a QR code from any column, such as a registration number or ticket ID.

A Microsoft Publisher alternative for badges

Plenty of offices and churches made name tags in Microsoft Publisher, and support for it ended in October 2026. Rowprint does the same job in a browser tab, on Windows, Mac or a Chromebook, with the same Avery® sheet numbers and nothing to install.

The Rowprint editor: the sample list pasted on the left, and name badges laid out on an Avery 5395-compatible sheet of 8 on the right, with Download PDF above the preview

Questions

Which name badge sheets work?
Avery 5395 and 8395 (8 per sheet, 2⅓ × 3⅜ in) on US Letter, and 86 × 55 mm badges, 8 per sheet, on A4. Badge inserts are built in too: 3 × 4 in (Avery 5392-style, 6 per sheet) and 2¼ × 3½ in (5390-style, 8 per sheet). Other sizes can be entered as a custom sheet.
Can I put first and last names on separate lines?
Yes. Each line of the badge can hold any mix of columns, with its own size and weight. {{First}} can be large and bold, with {{Last}} and {{Company}} smaller below it.
Can I add a QR code to each badge?
Yes, with Pro. Pick a column, such as a registration ID or a profile link, and each badge gets its own QR code. The codes are drawn as sharp vector shapes in the PDF.
